Q&A Call March 8th, 2023

  1. What questions will I be asked during interviews?

It depends on the position, but there are some questions you can prep for, like:

  • Tell me a little bit about yourself. 
  • Tell me a little about your experience with podcast management/social media management/lite website management etc..
  • Tell me about a project that you’re proud of.
  • Tell me about a project that didn’t go according to plan and how you handled the situation.
  • What are some of your biggest strengths?
  • What are some of your biggest weaknesses?
  • Why are you the best fit for this role?
  • Where do you see yourself in 5 years?

2. Consulting call with a client; what do you recommend keeping track of? 

See it as dating: you both want to know if it’s a good fit! Keep notes during the consultation call and ask questions that are important for you to know. Make sure to start with a personal connection (‘I have a dog, too!’), then discuss the pain points, let them know how you can help (tailor it to their pain points) and what the next steps are (are you sending them a proposal after the call, does the proposal has an expiration date, what you charge upfront, etc.)

3. What timeframe do you recommend for a trial period? 

You can tailor it to the service you provide as a VA, but usually, a 3-month trial period is a great idea to get to know your clients working and communicating style and get the ins and outs of the business. You can create 30-60-90 day plans and what you’d like to work on/achieve in that timeframe and adjust accordingly and see how to do things better. 

4. What other payment platform can I use with my clients other than PayPal? I am from South Africa. 

Look into Wise! We have team members from South Africa, and this is how we pay them too!

5. Pitching and applying, what’s the difference?

Applying: a person/business sends out a job post, and you apply for that role. 

Pitching: the person/business hasn’t sent out an ‘official’ job post, but you see an opportunity to make them aware of / offer you service(s).

6. How often should I follow up? 

Some say follow up until you hear no, but we recommend a max. of 2 times: one to check in if they received the application and one where you ask if they have an answer. Find all things follow-up (including bomb-ass templates!) here.

7. How are you assured you get paid?

To charge 100% upfront. If your client isn’t comfortable with that, you can tailor it to what you both feel comfortable with (50% upfront, 50% after two weeks, for example), but unfortunately, there is no guarantee you’ll get the money!

8. What would you do if you can’t deliver the work the client is asking for and you got paid upfront? 

Always ensure you’re a figure-outer (every business owner’s dream). Be confident you can get it done or figure it out. Stick to what you promised to deliver. You’ve been trained well! If the client is asking you to do something you absolutely can’t do or not enjoying at all, be upfront about it.

9. How do you respond if a potential client asks how they know they won’t get scammed?

Add testimonials to your portfolio or application kit. You can also ask people that wrote a testimonial for you if you can give potential clients their contact details in case they have any questions.

Portfolio Submissions

STOP before you start working on your portfolio items or submitting them for feedback, watch this video! Esther goes step by step in how to properly create and share your portfolio for both the program AND future clients. Have a look!

Your mentor will send feedback via email or Loom videos individually back to you. You can expect responses within 1-2 weeks depending on the backlog.

If you get a response from [email protected], then we have received your items and you don’t need to worry!

Submissions must be sent as Google Doc (docs.google.com) documents and the sharing settings must be ‘editable’ or ‘allow comments’ (if you don’t know how to do this there are some guidelines HERE).

If you want to edit and then submit your items again for review after receiving feedback, that’s okay! Otherwise, you can also just edit and add  the items to your portfolio if the revision notes you receive are minor.
